April 1, 2024
New MYF Checklist Enhancement
A Multi Year Funded (MYF) Electronic Checklist has been enabled for all NIH ICs. Key features of the MYF checklist include:

Checklists for an outyear will open 45 days prior to anniversary date of the award.

A task to complete the Checklist is generated for Program staff in PMM when the annual MYF RPPR is submitted by the recipient. Tasks will not be generated for awards not supported by MYF RPPR (e.g., SBIR/STTR and multi-project grants that have been multi-year funded).

Program and Grants staff will access and complete the MYF Checklist the same as they do for the initial checklist.

The Grants Management Specialists (GMS) are notified when the Program Official (PO) completes the MYF Checklist.

Once the GMS completes the Checklist, the documents are saved in the Grant Folder.

There is no separate “Sign-off” action on the outyears for a multi-year award.

Grants with MYF checklists display a MYF badge icon
in the Checklist column of the Grant Search Results.

New Checklist Cross-Talk Enhancement
Users can now view comments from the previous Checklist on the current one, if the Checklist is Not Started or In Progress:

Comments from only the last Checklist display. (Note: If the prior T1 or T5 was left In Progress or Not Started, it will be considered the last Checklist.)

A new collapsible section “Previous Checklist Comment History” has been added to the “Comments” window.

New Look on Task Screen

The Tasks screen has been upgraded to follow the look and feel adopted by other eRA modules, including:

A three-dot ellipsis action icon next to a grant number to replace the Action column

The addition of a Task Status column

New Look and Feel for Online Help and User Guide
The online help and user guide have been updated to the new look and feel, consistent with the new look and feel of eRA Modules. There are no changes to the organization or function of the help topics.

DMS Policy Flag Change

The DMS Policy flag in the expanded Summary View and the Program Notebook screen now displays "--" for grants prior to the cutoff date and not subject to the new policy.

New DMS Policy Flag

A DMS Policy flag is now available in the expanded Summary View and the Program Notebook screen.

The DMS Policy field values are: ‘Applicable’, ‘Applicable, Data Sharing Focus’, ‘Not Applicable’, and blank (the blank value was used only when the DMS Policy was not in effect).

All fields are read-only, and clicking the DMS Policy flag icon in Program Notebook displays a link to the Data Management and Sharing Plan documents, along with current comments and comment history.

The application-level ‘DMS Policy’ value is set based on the DMSP flag from the Funding Opportunity Announcement Module (FOAM). This value is not editable by program staff or any Institute/Center staff, and any requests to change the DMS Policy value must be submitted to OER.
NOTE: The DMS Policy flag is not visible for grants that are not subject to the new policy (e.g., original competing applications with a due date on or before Jan 24, 2023).
